Read this while you record. One module is one video. The green box is what you say. The white box is what you click. The orange box is the mistake, and what you do when it happens. Record the real Hub. Do not show a password, and do not leave a person’s name or card on screen.
One video per module. Aim for four to eight minutes. If a module runs long, split it at the orange boxes and make a second video called “when it goes wrong”.
Log in as a manager on the project you are teaching. Gateway shows the full daily set. EPDM and Promat are on Parliament Place. If a tile is missing, say so and move on. Do not hunt for it.
Start each video on the page named in Open on. Pause a second after every click so the recording can see it.
Use Save draft while you demonstrate. Do not press Sign, Issue, Authorise, or Confirm PO unless you mean to create a real record. Delete the draft at the end if the form has Delete.
When the script says to show an error, cause that error on purpose, read the message on screen, then show the fix.
After any spreadsheet change, the video must show Forms → Refresh name lists, and the phone page being closed and opened again.
1. Sign in, signature, and where things live
About 6 minutes. Open on the login page. Then the site menu, Forms, and the procurement menu. Do not type the password on camera. Cut in after you are already signed in, or cover the password box.
Say The Hub is the job record. Forms are the signed paperwork. The site menu is where the day starts. The procurement dashboard is where orders are raised and changed. You set your signature once. After that, every form you sign uses it.
Do
Show the site menu. Point at Project Forms, Site Daily Diary, Site Photos, Ops Weekly Return, Daywork, and Procurement Site.
Open Forms. Point at the six tabs: Daily Operations, Weekly Operations, QA, SHEQ, Plant Inspection, General Forms.
Point at View and Fill on one tile. View is the register. Fill is today’s blank form.
Press My Signature. Draw a signature, check the name, and press Save signature only if this login does not already have one. If it does, show the saved signature and come back.
Open the procurement dashboard from the menu. Open the menu there and point at Project Forms, Procurement Briefing, Ancillary requirements, Hire Orders, Bulk Orders, Amend PO by number, and My Signature. Do not press the sync buttons or Run Extraction Pipeline.
If this happens
Sign stays grey, or the form says no signature is set up. Go back to My Signature, draw it, save it, and return to the form.
You land on the wrong project. The heading at the top is the project name. Stop and open the right job before you record the rest.
A menu item is missing. That login does not have it. Say so. Ancillary requirements and Amend PO are not on every login. User Management and Project Management are for the people who already administer the Hub.
The page asks you to sign in again. Sign in off camera and start the sentence again.
2. Site Attendance, and every reason it stops
About 8 minutes, or two videos: the happy path, then the failures. Open on Forms → Daily Operations → Site Attendance. The phone half is the public QR from Fill. Cover any real names.
Say Attendance is the headcount. People do not type their name. They scan the site QR, press their company, pick their name, choose signing in or signing out, capture location, and sign. On Gateway they also need a signed induction in that same full name. On other projects the induction does not stop the sign-in. The company list and the name list apply everywhere.
Do
On the register, show a day, the sign-in and sign-out counts, the map, and where the PDF and the weekly hours download sit. Do not open a row that shows a full name if you can avoid it.
Press Fill and show the QR, or open the public page on a phone. Walk the five steps without submitting: company button, name list, Signing in, Capture location, signature box.
Say the name box stays on “Select company first…” until a company is pressed.
If this happens Show each message, then the fix. Refresh name lists after every spreadsheet change, then close the phone page and scan again.
On screen
Fix you show
My company is not on the buttons.
Site Documents → General → subcontractors.csv. Add a row. The Item cell is the button text. Save and check the file in. Then create that company’s operative file, or the next error appears.
No names listed — ask your Quantum manager.
The company is fine. The operative file name does not match. In the project folder → Operations → csv → Operatives names, the file is the company name in lower case, spaces as underscores, & dropped, Ltd ignored. M&S Knockton is ms_knockton.csv. No spaces in the file name.
The company is there. My name is not in the list.
Open that company’s file. Add a row. Item is the full name and surname, the same words as the induction. Card columns can be filled now. Attendance only needs Item.
No signed Quantum site induction on this project for this operative.
Gateway only. Either there is no signed induction, or the induction name is shorter than the list name. “Aiden” does not match “Aiden Manton”. The words can be in either order. A signed induction is locked. Unlock it if you can, correct the full name, and sign it again. If Unlock is not on your screen, an administrator unlocks it. A new induction in the correct full name also clears it. Refreshing the lists does not create an induction.
Already signed in. Sign out before signing in again.
They still have an open visit today. Signing out, capture location, sign, then sign in again if they need to.
Has no sign-in today, or already signed out.
They pressed Signing out with nothing open. They press Signing in.
Location will not capture.
Allow location for the browser, turn GPS on, press Capture location again. There is no sign-in without it.
Gateway’s operative folder is 062_Gateway_Cladding_LCL. Urban One is 099_Urban_One_BBP. Parliament Place is 096_Parliament_Place_LCL. A person added on one job does not appear on another until they are in that job’s folder too. The company file, subcontractors.csv, is one file for the whole company.
3. Site Daily Diary
About 5 minutes. Open on Forms → Daily Operations → Site Daily Diary → Fill.
Say One diary per manager, per day. It is the weather, who was working, the plant, and what happened. The weekly return can only pull a diary that has been signed and locked.
Do
Pick the date and open or create your diary.
Set the scope, for example the blocks you covered.
Fill morning and afternoon weather. Tick subcontractors, staff and plant. Show the box for a one-off that is not on the list.
Press Save draft. Point at Sign and lock and say you press that at the end of the day, not in this recording.
Open View and show the register so they can find yesterday’s diary.
If this happens
A company or a person is missing from the ticks. They are not on the refreshed lists. Add them the same way as attendance, press Refresh name lists, and reopen the diary.
Two managers need a record. Each person has their own diary. Do not both type into one.
The weekly return later has no labour or progress from this day. The diary was still a draft. Sign and lock it, then prefill the weekly return again.
4. Site Photos
About 4 minutes. Open on Site Photos.
Say This is not a signed form. It is the library. A photo only helps next month if it has a block, a level, a mast, a trade, and a description a director who was not on site can understand.
Do
Upload one photo, or open one already there.
Fill block, level, mast, trade, and a full description. Say the description is required.
Use a filter and show the library narrow to that tag.
Show Manage tags only if a tag is missing. Do not delete a tag that is already in use.
If this happens
A filter seems to do nothing and the pictures are slow to appear. Wait. The library is still loading. Do not keep clicking tags.
Someone emails a photo instead. It is not on the job. Upload it here and tag it.
The description is “progress” or “photo”. That fails the point of the library. Read a description that names the block, the level, and what the picture is proving.
5. Daily Briefing, Safe Start, Safe Finish
About 8 minutes. Open on Forms → Daily Operations. Record three short passes, or one video with three chapters.
Daily Briefing
Say This is the morning brief. It names the method statement, the permits, and what each company is doing. People sign on by scanning their digital ID. They must already be signed in on attendance for that date.
Do
Fill. Pick the date, the manager, and a method statement. Show the title and risk assessments coming onto the form.
Tick the prestart checks and today’s permits. Add one work task for a company.
Point at the ID scan. Do not scan a real card on camera. Say the scan refuses anyone who is not on today’s attendance.
Save draft. Say Sign & issue is the end of the real brief.
If this happens
No method statement to pick. Issue one first. Module 9. A briefing with no method statement is incomplete.
The scan refuses a person. Sign them in on attendance, then scan again.
Sign is grey. My Signature is missing. Module 1.
Safe Start and Safe Finish
Say Safe Start is sixteen checks before work in that area. Safe Finish is thirteen checks as you leave. The questions are already written. You answer them. Every No needs a comment.
Do
Safe Start → Fill. Pick the companies. Show Add if a company is a one-off.
Answer two questions, one Yes and one No, and type a comment on the No.
Show remove or add a question, then say you only do that when it truly does not apply.
Open Safe Finish and show it is the same pattern at the end of the shift, for the same companies.
If this happens
You try to sign with a No and an empty comment. The form is holding you there. Write what was wrong and what you did.
Safe Start is signed after the shift has already started. Say that in the video. The record is late. Still complete it, and do the next one before work.
6. Material issue, receiving, and the weekly stock count
About 8 minutes. Three forms. Do not sign any of them in the recording if the project stock would change.
Say Receiving is goods in. The weekly count is what is actually in a block store. Material issue is what leaves that store. Signing the count writes the quantities. Signing the issue takes them off. If you skip either one, the stock figure is a guess.
Do
QA → Material Receiving → Fill. Enter an order number and a supplier. Show the Yes / No / N/A checks, the line items, and where the delivery note and photos attach. Save draft.
Weekly Operations → Weekly Yard Stock Check. Show that it will not start until you pick a block store and a week ending. Point at the product tabs and say every line needs a count, including zero. Say Sign & issue updates that block only. Do not sign.
Daily → Material Issue. Pick a block. Show a catalogue line and the quantity that store holds. Show Ad-hoc only as the escape for something not on the catalogue. Point at issued-to, description, quantity, the receiver’s signature, and Sign & issue. Do not sign.
If this happens
The catalogue quantity is zero and the material is on the shelf. The weekly count for that block was not signed, or it was signed for a different block. Count that block, then issue.
You issued from the wrong block. The stock has already moved. Do not edit the signed form into a different story. Raise the correction with the person who owns the stock figure and record it. Say that on the video rather than pretending Undo exists.
Receiving is skipped because the delivery note is in a pocket. The delivery is not on the job. Photograph the note onto the form.
7. Ops Weekly Return
About 6 minutes. Open on Forms → Weekly Operations → Ops Weekly Return → Fill.
Say This is the week’s report. Sections marked for the operations director feed the directors’ report. A one-line “works ongoing” will not sign. Red and amber mean that part is still empty.
Do
Open the current week. Press Prefill from diaries. Show what came in, and say you read it and correct it.
Open one progress line. Show block, elevation or level, activity, measure, and status.
Show the programme dropline attachment and say you cannot sign without that PDF.
Show programme, materials, delays and HSQE. Say delays must be confirmed even when the answer is nil.
Save draft. Point at the red and amber chips.
If this happens
Prefill brings nothing. The diaries for that week are still drafts. Lock them, then prefill again.
Sign is refused. Read the red sections. A progress line is missing a block, a measure, or a status, or the programme PDF is not attached, or a director section is still a single vague line.
An incident is still shouting on the HSQE section. It was signed but never closed out. Close it on the incident form, then come back.
8. Quality forms
About 8 minutes for the pattern, then a one-minute clip for each pack you actually use. A photo on its own is not the QA record.
Say Acceptance, rejection and handover are the conversation with the main contractor. The product packs are the install record: location first, every line answered, a photo where the line asks for one, then Sign & issue.
Do
Works Area Acceptance. Show New WAA, block, areas or masts, and Sign & issue. If Communicated by is Email, say the PDF is emailed when you issue. Save a draft only.
Works Area Rejection. Show New WAR and the box where the reason has to be clear enough for the main contractor to act.
Works Area Handover. Show New WAH, the markup, and the area photos. Say Sign & issue to MC sends them a link to counter-sign, and the handover stays open until that signature is back.
Product QA. Show location chips first: block, mast, level, subcontractor. Show one Yes, one No, one N/A, and where the evidence photo goes. Say pre-install still needs both A and B. Point at Template and say that is edited once for the company, not on every sheet.
If this happens
You cannot tell which elevation a sheet belongs to. Location was skipped. Go back and set block and level before anything else.
Handover will not stand. The markup or the photos are missing. Attach them to the form.
The main contractor has not counter-signed. The register still shows it open. Chase the link. Do not start a second handover for the same area to “make it look signed”.
A tile is missing. Say which project uses it, and do not imply the job has skipped QA.
Pack
Where it appears
What you say that is different
Corofil, fire barrier and insulation
Gateway
A is the installer, B is the manager. Photos stay on this form.
Supports
Gateway
Say horizontal, vertical, or both. A photo per requirement.
EPDM
Parliament Place
Block, elevation, level, subcontractor. Same A and B rule.
Promat and Y-Wall
Parliament Place
Same steps as EPDM.
Tyvek
Parliament Place, Gateway, Urban One
Block, mast, level.
IKO Mansafe
Gateway
Block, roof or level, post location. Keep the reference drawing open. The QR is the same pack on a phone. Staff still log in.
Nyrok Insulation
Gateway
The tile is spelt Nyrok Insualtion. It is this pack. Block, mast, level.
About 10 minutes. Split into two videos if you need to: “people and training”, then “method, incident, permit”.
Toolbox talk
Do SHEQ → Toolbox talks → Fill. Pick a talk, the date and the location. Press Start talk. Show the sign-on scan and say it refuses anyone not on that day’s attendance. Sign and issue is the end. Do not scan a real ID on camera.
Method statement and risk assessments
Say The briefing can only point at a method statement that exists. The risk assessments live in the library. You set the project cover once. Signing the method statement stamps the assessments you ticked.
Do
Open the risk assessment library. Show the cover fields and Save. Point at Stamp. Say Upload is only for a version that is different on this project.
Open a method statement. Show the starred fields, scope, one location section, the paste box for an elevation, and the ticks for people, risk assessments, COSHH and PPE.
Say Sign & issue, then this method statement appears on the daily briefing.
If this happens
Sign & issue will not go. A starred field is empty. The message is on the form. Fill that field.
The briefing list does not show the method statement. It is still a draft. Issue it.
Site induction and the training matrix
Do
Site Induction → Fill. Full name and surname. Company from the list, not typed. Show the topics, the card photos, both signatures, and Share remote.
Training matrix → View matrix. Show the company filter and the gaps filter. Point at green, amber and red. Amber is a gap. Red is no induction. Do not read names out.
If this happens The company is not in the induction list. It is the same subcontractors.csv as attendance. Add it, refresh name lists, and reopen the induction. A first name on its own will not match Gateway attendance later.
Near miss, harness, tooling, hot works, HAVS
Do
Near miss. Show type, block, level, what happened, root cause, action, photos, and Sign report. Say close-out stays editable, and the weekly report keeps flagging it until close-out is signed.
Harness and lanyard. Show Pass or Fail, a note on Fail, and say any Fail means it comes off site.
Weekly tooling. Show the scale. 0–2 means remove or replace the same day. 3 and above can stay, with the note the scale asks for.
Hot works. Show one permit for today: location, duration, work, equipment, the hazard ticks, Authorise & accept, then close or cancel. Say yesterday’s permit does not cover today.
HAVS. Show the manager register and the QR. Say the operative records tools and trigger time, and a tool with no vibration magnitude cannot be picked.
If this happens
Incident Sign report is refused. Signature is missing, or the description is empty.
Hot works is still open the next morning. Close it or cancel it. An open permit is unfinished.
HAVS will not list a tool. That tool has no magnitude on the list. Do not invent a time against a different tool.
10. Plant inspections
About 6 minutes. Open on Forms → Plant Inspection. The checklist stays locked until a competent person is selected.
Say Each machine is a daily Yes, No or N/A, signed on the pad. The person has to be marked competent on their operative record before the questions open. A No needs a comment.
Do
MCWP → New. Serial number and mast position. Show the operative picker and the locked checks. Say they open when that person is MCWP trained.
MEWP. Say the IPAF number has to start with OP, or they cannot be selected.
Telehandler. NPORS or CPCS on the record, or the checks stay locked.
Scaffold. PASMA has to be Yes.
Gas torch. Location, make, model, cylinder size. Say a Jubilee clip is a fail on every site.
Point at the public QR and say the same form can be filled from the machine without you describing anyone’s name.
If this happens
The person is competent and the form still locks. The card columns on their operative file are empty, or the training matrix does not show that ticket. Fill IPAF, Mastclimber, PASMA, NPORS or CPCS on their file, refresh name lists, and pick them again.
You select a different operative just to unlock the form. Stop. That is the wrong person on a safety record.
A No is left with no comment. The form will not finish. Write what failed.
11. Early Warning Notice
About 4 minutes. Open on Forms → General Forms → Early Warning Notice.
Say This is how a delay is written down early enough for both sides to act. One matter, with the detail and the effect, is the minimum. Signing the issue locks those fields. Close-out is a second signature when it is actually resolved.
Do
Show that opening Fill on a day which already has a notice reopens that notice. Press New when it is a different matter.
Fill issued by, issued to, and their company.
Add one matter: what it is, the detail, the effect. Show the attachment.
Point at Sign issue and at close-out. Do not sign a fake notice on a live job. Use a draft and delete it, or record only up to the button.
If this happens
You wanted a new notice and the old one opened. That is the same day. Press New.
You need to change the matter after Sign issue. Those fields are locked. Use close-out for what happened next, or ask the person who can unlock it. Do not raise a second notice that contradicts the first without saying so.
12. Flashing fabrication sheet
About 8 minutes. Open on Forms → General Forms → Flashing fabrication sheet → Fill. Save draft is allowed. Do not press Issue fab sheet unless design wants a real sheet in the drawings folder.
Say This is the workshop drawing. Five steps: material, profile, dimensions, length, review. The picture on the right is the section the folder will cut. Issue fab sheet files the PDF. Save draft does not.
Do
Material. Set the date, block as one letter A to D, and level as a floor number, ALL, or BM. Show material, gauge, colour and finish.
Switch material to Aluminium and show PPC become available. Set PPC to Yes. Show the gauge drop to 2 mm and 3 mm, the crushed hem disappear, and the finish list become Matt only. Set PPC back to No and show the other finishes return. Say PPC cannot be chosen on steel.
Profile. Pick Capping. Show the 15 mm return kicking inward at 45 degrees to downstand A, the 88 degree corner at A, top B, and the 90 degree downstand C.
Pick Capping external corner, then Capping internal corner. Say the section is the same and the plan is the hand. On Length, show Plan leg 1, Plan leg 2 and the joint angle. Go back to a straight profile, Capping or Drip, and show those three boxes are gone.
Dimensions. Change one length and show the picture and the developed width update.
Review. Show the warnings in orange and the errors in red. Say Issue stays honest: if a red line is there, the sheet is not ready.
If this happens
Block is rejected. It has to be one letter, A to D.
Level is rejected. Use a floor number, ALL, or BM.
Part reference is rejected. Letters then digits, such as F-07, and a description.
Colour is demanded. Coated steel needs a RAL or BS colour. Galvanised and aluminium can be left uncoloured. Mill finish and no colour do not mark a colour face.
Aluminium and PPC will not offer 0.7 mm, a crushed hem, or Satin. That is deliberate. Use 2 mm or 3 mm, no hem, Matt.
The developed width warns it may not fit the coil. Read the warning to the folder. Do not ignore it and issue.
The status says a purchase order covers this sheet, and Save and Delete are blocked. The PDF still opens. You cannot quietly change a sheet that has already been ordered. Speak to procurement before you expect the order to change.
The page still shows yesterday’s profile. Refresh the fabrication sheet. The buttons along the top are the five steps. Not saved yet means you have not pressed Save draft.
13. Daywork
About 6 minutes. Open on Daywork from the site menu. The subcontractor does not log in. They use the labour link, ideally in a private window.
Say Daywork is six steps, and they stay in order. The project manager drafts the instruction. The QS confirms the work is not already in the measured works. The project manager issues it. The subcontractor fills the labour on the link. The project manager signs that labour. The QS values it. A site login cannot do the QS steps. An operations login cannot issue the instruction.
Do
Read the banner at the top so the viewer can see which role is signed in.
Show the six chips: PM drafts, QS confirms, PM issues, Subcontractor labour, PM signs, QS values.
Press New instruction only if you are happy to leave a draft. Otherwise open an existing row and talk through the fields: project, client, labour subcontractor, location, date, discussed by QFL PM and QS, recoverable, description, and why it is additional.
Show the labour link and say you send that, you do not ask the subcontractor for a Hub password.
Show the register columns: status, claimed, QS valued.
If this happens
The page says it is for the project manager, the QS, and admin. This login is none of those. Stop. The right person records this module.
You are the PM and the QS steps are not yours. Switch to an operations login for confirm and value. Do not tick the QS confirmation yourself to get the instruction out.
The QS has left a note that the work is in the measured works. The instruction does not get issued as daywork. Read the note on screen.
The subcontractor cannot open the link while logged into the Hub as someone else. Use a private window.
14. Procurement: find an order, amend it, hire and bulk
About 6 minutes. Open on the procurement dashboard. Do not press Confirm PO, Save on an amendment, or any sync button.
Say This is where an order is found and changed. The last four digits of the PO are enough to find it. Amending an order regenerates the PDF and emails the supplier that the order has been amended. You read the lines before you save. If you are not sure the drawing on the line is the revision you want, you do not save.
Do
Show the PO box at the top. Explain last four digits, or the full number such as PO-062-1248. Press Find on a number you already know is safe to show, or stop before the order opens if it contains prices you do not want on a training film.
Open the menu. Show Procurement Briefing, Hire Orders, Bulk Orders, and Raise Blank Ad-Hoc Order. Open Hire Orders and Bulk Orders only long enough to show what each list is. Do not raise one.
If Amend PO by number is on your menu, open it and read the warning on the screen: saving emails the supplier. Close it without saving.
If Ancillary requirements is on your menu, open it and show that lines added there update what still needs to be purchased. If the page says it is limited to admin, that is the end of that clip.
If this happens
Find returns nothing. Check the project in the heading, then the digits. A PO from another job will not appear here.
You amended an order and the supplier received an email you did not expect. That is what Save does. Do not amend as a way of “just looking”.
A newer drawing exists and the order still shows the older one. Do not assume Save will swap the drawing. Stop and check the line with procurement before you email the supplier.
Sync Gantt, Sync Procurement, and Run Extraction Pipeline are not part of filling in a form. Leave them out of the recording.
15. What finished looks like
About 3 minutes. Open on a register that already has a signed row. Do not open a row full of personal names.
Say A draft is unfinished. Finished means the register shows it signed, the PDF opens, every required box is filled, every No or Fail has a comment, and the photos are on the form. Names are full names. Companies are picked from the list. On Gateway, attendance waits for a matching induction. Close-out forms stay open until the action is done, and then they are signed closed.
Do
Show one signed row, the PDF button, and the difference between that and a draft row.
End on the six tabs and say: today is Daily, the week is Weekly, an area or a product is QA, a person or a permit is SHEQ, a machine is Plant, a delay or a flashing is General.
If this happens
The PDF will not open. The form was never issued. Open it and Sign & issue, or find the draft and finish it.
You cannot tell which form to use. Use the sentence above. Do not invent a spreadsheet beside the Hub for the same record.
Quantum Facades · video scripts for the Hub · October 2026. The written click-path for the forms is the forms guide. The attendance failures in full are the attendance guide.
